About the Executive Assistant

A public and influential family is seeking an experienced and highly skilled Executive Assistant to provide comprehensive support across their personal affairs, multiple business ventures, and philanthropic foundation. This individual will be a key partner in ensuring seamless operations, managing complex schedules, and facilitating communication across various entities. The ideal candidate is proactive, adaptable, and capable of handling confidential information with the utmost discretion and professionalism.

The Executive Assistant’s responsibilities include:

Family & Personal Support

• Manage the family’s daily schedules, appointments, and travel arrangements, including private and commercial flights, accommodations, and itineraries.
• Oversee personal calendar coordination (birthdays, events, special occasions) and handle gift procurement and correspondence.
• Assist with household management, including liaising with domestic staff, vendors, and service providers.
• Handle personal errands, reservations, and special requests with efficiency and discretion.

Business Operations

• Act as a liaison between the family and their business interests, ensuring clear and timely communication.
• Manage executive calendars and schedule meetings across multiple companies.
• Oversee correspondence, reports, and presentations, ensuring accuracy and professionalism.
• Assist with project coordination, research, and document preparation for business initiatives.
• Support financial and administrative tasks, such as expense tracking, invoice management, and document organization.
• Foundation & Philanthropic Support

Foundation & Philanthropic Support

• Coordinate activities, events, and board meetings for the family’s philanthropic foundation.
• Prepare and distribute agendas, meeting minutes, and reports.
• Manage donor relations and assist with event planning and fundraising logistics.
• Maintain and organize foundation records, files, and correspondence.

Qualifications & Experience

• 10+ years of experience supporting high-level executives, C-suite leaders, or UHNW families.
• Bachelor’s Degree required. Continued education is preferred. 
• Possesses comprehensive experience managing intricate family schedules, event planning, and travel arrangements.
• Proven experience managing complex schedules, travel logistics, and confidential information.
• Strong organizational and multitasking skills, with exceptional attention to detail.
• Proficiency in Microsoft Office Suite, Google Workspace, and project management tools.
• Excellent verbal and written communication skills.
• Ability to problem-solve and adapt in a fast-paced, dynamic environment.
• Experience in event planning, foundation coordination, or business support is highly preferred.
